My understanding is that it is the principal investigators who need the extra scheduling to show up in Calgary.  So in a way, it is only a handful who need advance notice since the rest are already in Calgary.

I did ask investor relations about this issue, and he said that enough notice had been given...so people like Kaushik Ray have blocked off some dates to be free to go to Calgary.  Now this discussion took place several days back...things may have changed.  But he insisted that all need to be physically in one room.

What I did extract from him, is that this physical showing up is definitely in September.  He was unwilling to discuss more details beyond that.
